Snowflake Event Privacy Notice

This Event Privacy Notice (“Notice“) supplements our general Snowflake Privacy Notice available here and explains how Snowflake Inc. and its subsidiaries and affiliates operating under the ‘Snowflake’ brand (collectively “Snowflake”, “we”, “us”, and “our”) collect, share and use personal information about you in connection with any events (such as a trade show, webinar, seminar, virtual event, or conference) that we participate in or sponsor and any related websites, social networking features or mobile apps (collectively, the “Events”).

What personal information does Snowflake collect and why?

Personal information you provide

We may collect certain personal information you voluntarily provide to us, for example, when you register for or attend an Event, allow us to scan your Event badge, fill out a survey, enter a contest, or provide us with your contact information. At the point we ask you to provide your personal information, we will make clear to you the types of personal information we collect and the reasons why you are asked to provide it. This may include the following types of personal information:

Identifiers and professional or employment-related information, such as:
  • name, job title, gender, and other biographical information
  • your contact details including address, email address, online chat or social media account details, and phone number
  • profile picture (if you choose to upload one)
  • professional details, including your company, industry, and role / job title
  • to create your account to access the Event and to populate your account profile
  • to register you for the relevant Event
  • to deliver the Event
  • to correspond with you about the Event, including sending you pre-and post-Event information
  • to create biographies of speakers or attendees and to distribute the biography/list to speakers and attendees
  • to share your information with the Event sponsors, co-sponsors or Event partners
  • to analyze who is attending or interacting with our Events, including so that we can monitor the success of the Event and understand trends in participation
Customer records / account registration information, such as:
  • identifiers referred to above
  • credit card information
  • to register you for the relevant Event
Characteristics which may be protected under California or U.S. Federal law and similar information, such as:
  • dietary needs
  • disability requirements
  • gender
 
  • to provide you with appropriate information about accessibility to the Event
  • Gender is processed for purposes set forth under “Identifiers” above
  • to fulfill our legal responsibilities

Some of the information you provide to us voluntarily when registering for an Event may be considered sensitive or a special category of personal information under applicable data protection laws. Where required by law, we will obtain your explicit consent for the collection and use of such information.

Some Events are co-sponsored or provided in connection with other companies that are not under the direct control of Snowflake. For such Events, we or the Event host/organizer will disclose the name of the sponsor(s) or partner(s) and link to their websites that contain their respective privacy notices either at the point your personal information is collected or, if not known at the time of registration, prior to the start of the Event. When attending any Snowflake-hosted Event where Snowflake is not the sole provider, you should be aware of any differing privacy practices by such other organizations and read all privacy notices and disclosures made available to you.

Personal information we collect automatically

We may also automatically collect certain information about you or your device, for example, when you interact with Event  , online forums, and communications, or download content, or participate in any event or sessions that are filmed or recorded.  This may include the following types of personal information:

Audio, electronic, visual, or similar information (as captured in photographs or on recordings we make of the Event that may be reproduced in various media, live-streamed during (part of) an Event, and/or on CCTV where the Event is hosted at our premises)
  • filming, photographing or otherwise recording the Event and publishing or reproducing such content on our website, social media accounts and other formats where it would not be necessary, appropriate or practicable to obtain your specific consent (for example, we may seek specific consent for prominent or impactful uses or if the content reveals any information regarded as “sensitive” under applicable data protection laws)
Internet or other electronic network activity information, and geolocation data, such as:
  • technical information (like your IP address, device type, unique device identification numbers, browser-type)
  • broad geographic location (e.g. country or city-level location)
  • usage data (like your referring website, the time your device visited the website, the pages accessed, links clicked and content downloaded)
  •  to administer the Event’s online properties and for internal operations, including troubleshooting, data analysis, and statistical and survey purposes

Personal information we collect from other sources

If you have registered for an Event through our partners or co-sponsors, they may share certain information about you (such as your business contact information), which we use for the purposes described in this Notice. We may also collect information about you from publicly available sources, like LinkedIn and other social media sources.

We may also combine information we have collected about you by the methods described above or in other contexts (such as data we have collected about you in connection with your use of any Snowflake products and services) for our marketing and promotional purposes – for example – to help us better determine what products, services and/or Events might be of interest to you.

In general, we will only use the personal information we collect from you for the purposes described in this Notice. However, we may also use your personal information for other purposes that are not incompatible with the purposes we have disclosed to you (such as in the public interest) where this is permitted by applicable data protection laws.

Who does Snowflake share my personal information with?

We may share your personal information with:

  • our trusted business partners, Event presenters, agents and service providers (including providers of accommodation, catering, IT, webinar and other support services) where applicable and where it is necessary for them to receive the information;
  • our financial service providers to whom payment details are provided in connection with processing a payment;
  • co-sponsors or event partners, including those who are involved in the delivery of the Event;
  • relevant professional bodies or institutions where membership or affiliation affects your entitlement (or fees) to attend the Event; and/or
  • our affiliates so they can use it for the purposes described in this Notice.

In addition, if you choose to share certain content and other information (like your account profile information) through the Event (for example, if you use any social networking features, such as the Snowflake Summit Network, or create any public account profiles), you acknowledge that other attendees, sponsors, partners or users of the Event may access such information.

How does Snowflake keep my personal information secure?

Snowflake takes all reasonable and appropriate steps to help protect your personal information in an effort to prevent loss, misuse, and unauthorized access, disclosure, alteration, and destruction.

International data transfers

Snowflake and many of the Events are established and/or provided in the United States and other international locations. Therefore, please be aware that your personal information may be transferred to, and processed in, countries other than the country in which you reside. We have, however, taken appropriate safeguards to require that your personal information will remain protected in accordance with this Notice. For more information, please see “International Data Transfers” in the Snowflake Privacy Notice.

Data retention

We retain personal information collected from you only for as long as we need to deliver the applicable Event or as long as we need to fulfill the purposes above or where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested or to comply with applicable legal, tax or accounting requirements). Your privacy rights

You have several privacy rights, which are outlined in detail under the headings “Your Information Choices and Changes”, “California Users” and “Your Privacy Rights” in the Snowflake Privacy Notice.

Legal basis for processing

Snowflake Inc. is the data controller of your personal information unless the information is collected in circumstances where one of our affiliates is running a local Event. In such circumstances, we will endeavor to make this clear to you in a context-specific notice at the point we collect your personal information.

Our legal basis for collecting and using the personal information described above will depend on the personal information concerned and the specific context in which we collect it. For those jurisdictions requiring a specific legal basis for processing personal information, we will normally collect personal information where we have your consent to do so, where we need the personal information to perform a contract with you, or where the processing is in our legitimate interests and not overridden by your data protection interests or fundamental rights and freedoms. In some cases, we may also have a legal obligation to collect personal information from you. Typically our legitimate interests include: (i) providing, improving and personalizing our Events and related content; (ii) managing our relationship with you; and (iii) conducting our sales and marketing activities, as permitted under applicable law.

Updates to this Notice

We may update this Notice from time to time, including in response to changing legal, technical or business developments.  When we update this Notice, we will take appropriate measures to inform you, consistent with the significance of the changes we make. We will obtain your consent to any material Notice changes if and where this is required by applicable data protection laws.
